This policy applies to anyone who uses this platform: people requesting help, donors, fundraisers, volunteers, and visitors browsing our public pages. It covers information collected through account registration, forms, uploads and ordinary use of the site.

• Account information: name, email address, phone number, country, city, preferred language and currency, and profile details you choose to add.
• Case and campaign information: descriptions of the need being reported, category, amounts requested, and any supporting evidence you or others upload, such as documents, photographs or receipts.
• Donation information: the amount, currency, payment method and status of donations. We do not store full card numbers; payment details are handled by our payment providers.
• Volunteer information: details submitted on a volunteer application, including areas of interest and relevant experience.
• Technical information: basic session and authentication data needed to keep you signed in securely, described further in our Cookie Policy.

Documents and images submitted as evidence for a case, campaign or volunteer application are stored in access-controlled storage and are only made available to the staff and volunteers responsible for reviewing that specific submission. Evidence is not published publicly. Where a summary of a case is published, personally identifying details are limited to what is necessary and appropriate, and sensitive documents themselves are not disclosed.

We process personal information because it is necessary to provide the service you have requested (for example, reviewing a case you submitted, processing a donation you made, or considering a volunteer application), to comply with legal and financial record-keeping obligations, and, in limited cases, on the basis of consent that you may withdraw at any time by contacting us.

Where a case concerns a child or another vulnerable individual, additional care is taken to limit access to identifying information to those staff and volunteers who need it for verification, in line with our Safeguarding Policy.

We retain personal information for as long as your account is active and for a further period afterwards where needed to satisfy financial record-keeping, safeguarding, legal or dispute-resolution obligations. Evidence linked to a closed or rejected case may be retained for a limited period to support audit and appeals processes before being securely deleted.

We do not sell personal information. Information is shared only with: staff and volunteers who need it to perform their role; payment providers, to process donations; and regulators or authorities where we are legally required to disclose it.

Depending on your location, you may have the right to request access to, correction of, or deletion of your personal information, to object to certain processing, and to withdraw consent. We use access controls, role-based permissions and audit logging to reduce the risk of unauthorised access to personal information. No system can be guaranteed completely secure, and we encourage you to use a strong, unique password for your account.
